Nobody searches “stripe virtual assistant” while things are going well. You search it after the third night in a row spent inside the Dashboard, refunding one order, resending a receipt, staring at a dispute with a respond-by date nine days out, and wondering why the money that hits your bank account never quite matches what Xero thinks you sold. Stripe is brilliant at taking payments. It is completely indifferent to the admin those payments generate, and that admin lands on whoever owns the login. Usually you.
The daily rhythm a VA runs in your Stripe
Morning starts in three places, in order of how much money each one is bleeding.
First, Disputes. New chargebacks appear here with a countdown attached, and they get triaged before anything else because every other job in Stripe can wait a day and a dispute can’t. More on those below, they deserve their own section.
Second, Billing. Your VA pulls up failed subscription payments from overnight. Stripe’s Smart Retries will have rescheduled its next attempt at whatever hour its model thinks the card will work, which is genuinely clever and genuinely not enough. The VA’s job is the layer on top: customers whose cards have expired or hard-declined get an email with their customer portal link so they can update the card themselves, and anyone about to hit the end of the retry window gets a personal nudge before the subscription cancels and your MRR quietly leaks. Failed payments are where subscription businesses lose revenue nobody decided to lose.
Third, Invoices. The Invoices tab filtered to Open and Past due is the honest picture of who owes you money through Stripe. The platform’s automatic reminder emails do the first shift, but automated reminders plateau fast; by the third one, everybody has learned to ignore them. Your VA takes over where the automation stops, a real email from a real person, on a chasing cadence you’ve signed off, escalating to you only when a debtor goes properly quiet.
Around those three anchors sits the rolling work. Refunds get processed from the Payments screen, always with a reason selected and an internal note so future-you can reconstruct why $340 went back to a customer in March. “What is this charge on my statement” emails get answered same day, because an unanswered one becomes a dispute, and a dispute costs you a fee whether or not you deserve it. Customer records get kept clean: cards updated, ABNs corrected, duplicates merged, metadata maintained so your revenue reporting isn’t fiction. And if you’re on Radar for Fraud Teams, the review queue gets worked daily against written rules, so a flagged-but-genuine order ships today instead of sitting in limbo until you remember to look.
Then there’s the weekly job that makes your bookkeeper stop sighing: payout reconciliation. Stripe pays you in lump sums, net of its fees, on a rolling schedule. A payout of $4,183.62 might contain thirty-one charges, two refunds and a fistful of processing fees, and none of that is visible from your bank statement. Your VA opens each payout under Balance, works through what it contains, and matches it against Xero through a clearing account so every deposit ties back to actual sales. Disputes: the deadline job
Chargebacks are the part of Stripe that punishes absentee owners hardest, so here is exactly what a VA does with one.
A dispute lands with the funds already pulled from your balance and a respond-by date set by the card network, typically a week or three away. Do nothing and you lose automatically. That is the single most common way small businesses lose disputes: not weak evidence, no evidence.
Your VA’s process: open the dispute, read the reason code (product not received, fraudulent, credit not processed, each wants different evidence), then assemble the submission against Stripe’s evidence categories. For a physical product, the shipping documentation and tracking number showing delivery to the cardholder’s address. For services and subscriptions, the customer communication trail, the terms they accepted, login or usage records. It gets submitted days before the deadline, never on it, and the outcome logged so you can see your dispute pattern over a quarter, which products, which channel, which reason codes, and fix the upstream cause.
The upstream cause matters more than the fight. A confusing statement descriptor is behind a startling share of “fraudulent” disputes from customers who simply didn’t recognise the charge, and a VA answering payment queries within hours prevents disputes far more cheaply than winning them.
The honest bit
Things Stripe will not do, whoever you hire.
It is not a ledger. Stripe knows what it processed; it does not know your COGS, your BAS position or what that Afterpay settlement was. The payout-to-Xero reconciliation exists precisely because Stripe hands your accountant lump sums and shrugs. A VA closes that gap; Stripe never will.
Disputes are stacked against you. Card-not-present chargebacks favour the cardholder, and each one comes with a dispute fee on top of the disputed amount. A VA guarantees you never lose by forfeit and never miss a deadline. Nobody honest guarantees a win rate.
Smart Retries recover the recoverable. An expired card attached to a customer who ignores every email is churn no retry schedule fixes; it needs a human follow-up, and sometimes it’s just gone.
Invoicing isn’t free. Stripe charges an extra percentage per paid invoice on top of card processing fees. If your invoice volume is heavy and none of it needs card payment, raising invoices in Xero and chasing them there can be the cheaper shape; a VA can run either, but you should choose deliberately.
And check which Stripe you actually have. Shopify Payments runs on Stripe’s rails but lives entirely inside Shopify admin; there is no Stripe Dashboard to give a VA. What stays with you
Stripe is your money’s front door, so the boundary is structural, not polite. The linked bank account, payout schedule, account and security settings, and API keys stay behind the Administrator role, which stays with you; a VA on Support Specialist can refund a payment to the card it came from and nothing further. Pricing changes, refund decisions above the threshold you set, writing off a debtor, accepting or fighting a marginal dispute, and anything Radar flags that smells like real fraud rather than a false positive, all of that escalates to you under a written rule. And a VA is not your BAS agent or accountant: they keep the payment data clean and reconciled, and the tax and financial decisions built on top of it stay with you and your adviser.

Stripe Dashboard work sits on the admin tier, $12-17 AUD an hour excl GST, most placements 10-15 hours a week, roughly $500-1,100 a month. Will the VA actually know Stripe, or am I training someone from scratch?
Stripe is the default payments layer for a huge share of online businesses, so candidates with real Dashboard hours, refunds, disputes, Billing, are genuinely findable and we match for them where we can. Can a virtual assistant move money out of our Stripe account?
No, and it's enforced by Stripe, not by trust. On the Support Specialist role a VA can refund a payment back to the card it came from and nothing else. Payout schedules, the linked bank account and API keys sit behind the Administrator role, which stays with you. There is no path from the VA's login to your bank details.
Can a VA really win chargebacks?
Some, not all. What a VA reliably fixes is the disputes lost by default: Stripe gives you a respond-by date and if nobody submits evidence, you lose automatically. A VA gets complete evidence in every time, tracking, customer emails, terms acceptance, and answers the payment queries that stop disputes being raised at all. Card-not-present disputes still favour the cardholder, and anyone promising a win rate is guessing.
We sell on Shopify. Is there anything for a VA to do in Stripe itself?
Check which rail you're on. Shopify Payments is built on Stripe but managed entirely inside Shopify admin, so the work happens there, not in a Stripe Dashboard. If you use WooCommerce, an invoicing app or Stripe Billing directly, you have a real Stripe account and everything on this page applies. Plenty of businesses run both, Shopify Payments for the store and Stripe for subscriptions or invoices.
Is this overkill for a solo operator?
If Stripe is a handful of payments a month, yes, keep it yourself. The maths changes once you're chasing more than a few invoices a week, running Billing subscriptions with real churn, or copping a dispute or two a month, each of which carries a fee on top of the disputed amount. That's usually the point where 10 hours a week of Dashboard work pays for itself.
