The search for a “clickfunnels virtual assistant” almost never happens before launch. Building the funnel was the enjoyable part: the offer took shape, the pages came together, the countdown timer worked. Then it went live, and you discovered what a funnel actually is once it has customers in it: a machine that manufactures admin. The daily rhythm a VA runs in your ClickFunnels
Morning starts in the Orders tab, because money problems age badly. New orders get checked against course access so nobody who paid last night is emailing you angry by lunch. Failed subscription payments get a same-day follow-up email in your voice, which is the difference between a card update and a silent churn. Refund requests are processed under a written rule you set (say, no-questions inside 14 days, escalate everything else), so the easy ones disappear without touching you and the contentious ones arrive with the order history attached.
Then contacts. New lessons get uploaded into the right module with the resources attached, drip release settings get checked against what the sales page actually promised (a “new module every Monday” claim with a mis-set delay is a refund request waiting to happen), and the daily trickle of login problems, access requests and “I bought the bundle but can only see one course” emails gets answered the same day. None of it is hard. All of it is urgent to the person who paid you last night, and it is exactly the category of task that turns a coach’s evening into tech support.

Launch weeks change the tempo, and this is where a VA who knows ClickFunnels earns the retainer several times over. Before cart opens, every path through the funnel gets test-bought: the coupon applies, the payment plan reads right on the order form, the bump adds, the OTO fires once and only once, and the thank-you page delivers what it says. During the window, the cart opens and closes at the exact minute, the replay page gets swapped in on schedule, and someone is watching the Orders tab in real time so a broken checkout gets caught at order three, not order thirty. You should be selling on launch day, not refreshing your own order form.
Friday is numbers. The honest bit
ClickFunnels will not rescue a weak offer, and neither will a VA. If the funnel is not converting, the problem is nearly always the offer or the copy, and that is strategy work that stays with you or a copywriter you hire for it. A VA keeps a converting machine running and iterating; expecting the admin tier to fix conversion is hiring the wrong instrument.
Email deliverability is on you before it is on anyone. ClickFunnels 2.0 requires you to authenticate your own sending domain with DNS records before Broadcasts and Workflows send properly, and plenty of accounts skip it and then wonder why everything lands in spam. Your VA can walk the setup checklist with you, but the domain and DNS access are yours.
The analytics are funnel analytics, not a measurement stack. Step conversion, opt-in rates and order stats are solid; attribution across channels is thin. If you are spending real money on ads, GA4 runs alongside, and your VA reads both.
There is no native Xero connection. GST is handled, but only if someone sets it up: products marked taxable, with tax running through Payments AI or Stripe Tax, and plenty of accounts skip that step. Xero-side invoices and reconciliation still live outside the platform, through Zapier or a regular order export. Two more things worth saying plainly: if you are still on Classic, moving to 2.0 is a proper project rather than a button: the free BarnumPT extension copies your pages across, but products, Workflows and contacts still need rebuilding by hand, so scope it as a project, not a task to delegate; and split tests need traffic to mean anything, because on thirty visitors a day a “winning” variant after a week is mostly noise, and your VA should tell you so rather than declare victory.
What stays with you
Coaching and course businesses have a genuine compliance edge, and it lives in the copy. Under Australian Consumer Law, income claims, results claims and how testimonials are presented are your legal exposure, not your VA’s, so the working rule is simple: the VA builds and drafts, you approve every claim before it goes live, and nothing about earnings or outcomes gets invented to fill a headline. Beyond that, the offer, the price, and any decision to change either stay yours. Refunds outside your written rule escalate rather than get improvised. Ad spend decisions stay with you even when the VA is reporting the numbers that inform them. And the commercial spine of the account, your payment gateway, your plan billing, your domain registrar, stays in your name on your seat, not the VA’s.
Where the admin tier ends and the specialist tier begins
Worth being precise, because “funnel VA” covers two different jobs. Duplicating and editing funnels, loading Workflows you have mapped, Broadcasts, contact and order admin, course uploads and stats: that is admin tier, $12-17 AUD an hour. Architecting a funnel from nothing, designing the automation logic, writing the sales page and the email sequence: that is specialist work at $18-25, and sometimes it is really a copywriter you need instead. Will the VA actually know ClickFunnels, or am I paying to train someone?
ClickFunnels is one of the most widely used funnel platforms among Manila VAs because so many coaching and info-product clients run on it, so candidates with real funnel-building hours are genuinely findable, and where we can match you with one we do. We confirm which platform you are on, because ClickFunnels 2.0 and Classic are different builders, and the ramp is 5-7 days supervised inside your workspace, starting with contacts and orders before anything customer-facing.
What can the VA see and touch inside my account?
The VA works from their own team member seat, invited through Team Settings with a role that limits what they can touch, not from your login. Account ownership, plan billing and your connected payment gateway stay with you. The practical boundary we set in writing: the VA processes orders and refunds under your rule, but cannot change pricing, connect or disconnect payment integrations, or delete funnels without your sign-off.
Can the VA build a funnel from scratch and write the emails?
Building and maintaining, yes: duplicating funnels, editing pages, loading sequences you have mapped into Workflows. Designing a funnel from a blank canvas and writing the sales copy is specialist work at $18-25 AUD/hr, and even then the offer and every claim in the copy stay yours to approve. Most ClickFunnels placements are mostly admin tier with occasional specialist projects.
Does ClickFunnels handle GST and talk to Xero?
Half of it. ClickFunnels can charge GST on Australian orders once someone marks your products as taxable and tax is running through Payments AI or Stripe Tax, and your VA can check that setup. There is still no built-in Xero connection though, so tax invoices and reconciliation happen outside the platform, via a Zapier connection or a regular order export your VA runs and hands to whoever does your books. Worth knowing before your BAS is due, not after.
I'm a solo coach with one funnel. Is a VA overkill?
If the funnel is genuinely set-and-forget and your list gets one email a month, probably yes, and we will say so on the call. The maths changes once you are emailing weekly, running launches, selling a course with members who need support, or paying for a plan whose features you never use because nobody has time to use them.
