Privacy policy
This privacy policy explains how Boring Ventures Pty Ltd (ABN 67 671 943 758), trading as DotVA, collects, uses, stores and protects personal information. We operate under the Australian Privacy Principles (APPs) set out in the Privacy Act 1988.
1. What we collect
We collect personal information that you provide directly to us, including when you:
- Submit our booking or contact forms (name, email, business type, your message)
- Subscribe to our newsletter (email address)
- Engage us as a client (business details, billing information)
- Apply for a VA role (CV, identification documents, references)
We also collect some information automatically when you visit the site, including IP address, browser, device, and pages visited. We use this for analytics (see Cookies + Analytics below).
2. How we use it
We use personal information to:
- Respond to enquiries and provide the services you ask for
- Match you with a suitable VA and manage that engagement
- Send you our newsletter, if you've subscribed
- Comply with our legal obligations (tax, regulatory, employment)
- Improve our website and services
3. Who we share it with
We do not sell your personal information. We share it with:
- Cloudflare – DNS, content delivery and DDoS protection for this website. Cloudflare also processes and stores our form submissions: when you send a form it is received by our own Cloudflare Worker, checked by Cloudflare Turnstile (a bot check that replaces a CAPTCHA), and stored in a Cloudflare D1 database hosted in the Asia-Pacific region so we can answer you and keep a record of the enquiry.
- Resend (United States) – delivers the notification email that puts your enquiry in front of us, and the confirmation email we send back to you
- DotVA HQ – our own client system, hosted on a server in Europe, where your enquiry becomes a record so it does not get lost
- Google (Workspace) – hosts our email; receives data when you email [email protected]
- Beehiiv (United States) – manages newsletter subscriptions if you opt in
- Google Analytics 4 (United States) – anonymised website analytics
- Google Ads and Meta (United States) – our advertising tags, unless you opt out. See our cookie policy for exactly what these do and how to switch them off.
- Our Filipino VA team – only the information you choose to share with the VA we place with you
Each of these providers has its own privacy policy. Some of them store data overseas (primarily the US, and Europe for our own client system). We take reasonable steps to ensure they handle your information consistent with the APPs.
4. Cookies + analytics
We use first-party Google Analytics 4 with Consent Mode v2 and IP anonymisation to understand how our content is used. We also run two advertising tags, the Meta Pixel and the Google Ads tag, so we can measure which content leads to enquiries and show our own ads to people who have already visited us. Analytics and advertising signals are both enabled by default and switch off together the moment you opt out. We honour the browser Global Privacy Control signal automatically, and you can opt out at any time.

5. How long we keep it
Enquiry data is kept for 24 months. Client engagement data is kept for 7 years after our last engagement (tax recordkeeping requirements). Newsletter data is kept until you unsubscribe. VA applicant data is kept for 12 months unless you ask us to remove it sooner.
6. Your rights
Under the Privacy Act 1988 you can:
- Ask for a copy of the personal information we hold about you
- Ask us to correct anything that's wrong
- Ask us to delete your personal information (subject to our legal recordkeeping obligations)
- Withdraw consent at any time

7. Complaints
If you believe we've handled your information badly, email us first at [email protected] and we'll work to resolve it within 30 days. If you're not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
8. Changes to this policy
We update this policy as our practices change. The most recent version is always at this URL with the date at the top.
