ManyChat Virtual Assistant: someone to run the flows, the keywords and the DMs the bot hands back
For ecommerce founders, creators, studio owners and salon brands whose reels say comment SHIP for the link, and whose DM inbox proves that people did.
30 minutes with Jenn, the founder. No card, no lock-in.
What your VA actually does inside ManyChat
Comment-to-DM triggers for every new post
Each time a post or reel goes live, the VA duplicates your comment automation, points it at the new post, sets the keyword, writes the public reply, and tests the whole path from a second account before the post gets traffic. The number one ManyChat failure is a post going viral with last week's trigger still attached to last week's post.
Flow building and QA in Flow Builder
New flows drafted to your brief in Flow Builder: message nodes, Condition steps, Smart Delays, and a Randomizer split where you want to test two versions of an offer. Every flow gets a full test run as a real contact before publish, including the unhappy paths, wrong keyword, no email given, contact already tagged.
Live Chat when automation hands off
ManyChat's Live Chat queue is where the bot stops and a human is expected. Your VA works it through the day AU business hours: answering the questions the flow could not, pausing automation on a thread when a real conversation starts, and assigning anything about refunds, complaints or custom orders to you.
Keywords, Story replies and Default Reply
The keyword library kept current (set to contains, not exact match, so typos still trigger), Story reply automations updated for each campaign, and a weekly read of what landed in Default Reply, because that folder is a list of questions your automation does not answer yet.
Contact hygiene: tags, Custom Fields, segments
Every contact tagged by entry point so you know which reel or lead magnet produced them, Custom Fields for email and phone kept clean so the Klaviyo sync does not push junk into your email list, and dead segments retired. ManyChat bills by contact count, so the VA also archives long-inactive contacts on a rule you approve.
Broadcasts and Sequences
Broadcasts built to segments rather than the whole list, scheduled inside Meta's messaging window rules, and Sequences (ManyChat's drip messages) maintained so new lead magnet contacts get the follow-up they were promised. WhatsApp template submissions handled if that channel is connected.
Flow conversion reporting
A weekly report pulled from ManyChat's flow analytics, sent, delivered, opened, clicked, and conversion per flow, into a Google Sheet you actually read, with a line on which entry point (comment trigger, Story reply, keyword) is producing contacts that buy versus contacts that just wanted the freebie.
Nobody searches “manychat virtual assistant” the week they sign up. You search it three months in, after a reel took off, 600 people commented the keyword, the flow delivered the lead magnet beautifully, and then 40 of them asked a follow-up question the bot could not answer, and those conversations sat in Live Chat overnight while you slept. ManyChat automates the first message brilliantly. Everything after that first message is still a job, and right now the job is yours.
The daily rhythm a VA runs in your ManyChat
First thing, AU business hours, the Live Chat queue. This is the part of ManyChat that owners consistently underestimate: every conversation where a contact typed something the flow did not expect, asked for a human, or hit the end of an automation with a real question is sitting there waiting. Your VA works through it, answers what they can from your approved responses, pauses automation on threads where a genuine back-and-forth has started so the bot does not interrupt, and assigns anything involving refunds, complaints or custom requests to you with context attached.
Then the triggers. If a post or reel is going live today, the comment-to-DM automation for it gets set up before the post does: automation duplicated, keyword set, public comment reply written, and the full path tested from a second account so the first real commenter is not the QA process. Story reply triggers get the same treatment during campaigns. This is unglamorous and it is the single highest-leverage habit in chat marketing, because a post that performs with a broken or missing trigger is reach you paid for with nothing to catch it.
Midweek, the audience gets a hygiene pass. New contacts checked for correct entry-point tags so you can see which reel or lead magnet produced them. Custom Fields holding captured emails and phone numbers checked before the Klaviyo integration syncs them across, because a chatbot list full of “[email protected]” quietly poisons your email deliverability. Segments that no campaign uses anymore get retired. And because ManyChat prices by contact count, the VA runs your agreed archiving rule on long-inactive contacts so the subscription does not creep up on autopilot.
Weekly, reporting. ManyChat’s flow analytics show sent, delivered, opened and clicked for every message in every flow, plus conversion where you have goals set. Your VA pulls that into a Google Sheet with a short written read: which entry points produced contacts, which flow steps are leaking, and what landed in Default Reply this week, because Default Reply is effectively a customer-written list of the automations you have not built yet.
Flow builds, keywords and the growth tools
Beyond the daily running, a competent ManyChat VA builds. You brief the offer and the shape of the conversation; the VA drafts it in Flow Builder with message nodes, Condition steps that branch on tags or Custom Field values, Smart Delays where the pacing matters, and a Randomizer split when you want two versions of a hook tested against each other rather than argued about.
The QA discipline matters more than the building. Every new flow gets walked end to end as a real contact before it goes live, including the paths nobody plans for: the person who types the keyword with a typo (keywords set to “contains” rather than exact match catch most of these), the person who ignores the email question, the returning contact who already has the tag the flow is about to assign. Automations that were never tested on their unhappy paths are how brands end up sending the same lead magnet to the same person four times.
Growth tools and keywords get managed as a library, not a junk drawer. Old comment triggers pointed at dead posts get archived, keyword conflicts get resolved (two automations fighting over the word “PRICE” helps nobody), and every campaign’s triggers get named so that in six months you can tell what anything does.
Broadcasts, Sequences and the messaging window
Broadcasts are where ManyChat accounts get themselves in trouble, so this is where the VA’s process earns its keep. Meta’s rules only allow free-form messages inside a window after the contact’s last interaction; on WhatsApp, anything outside that window needs a pre-approved template message. Your VA builds broadcasts to specific segments rather than blasting the whole list, schedules them inside those rules, and handles WhatsApp template submissions and approvals if that channel is connected to your account.
Sequences, ManyChat’s drip messages, get maintained rather than set-and-forgotten: the follow-up messages your lead magnet promised actually go out, in order, and get updated when the offer changes, instead of referencing a discount that expired in March.
The honest bit
Three things ManyChat will not do, no matter who runs it. First, it cannot start conversations on Instagram. The official API only lets automation respond to people who acted first, commented, replied to a Story, sent a DM. It is a capture tool, not a cold outreach tool, and anyone promising otherwise is describing something that violates Meta’s terms. Second, it only works on Instagram business and creator profiles connected to a Facebook Page; a personal profile has no door for it. Third, the automation is exactly as smart as the flows you built: a question the flow never anticipated goes to Default Reply or Live Chat, where a human has to exist. ManyChat replaces the first reply, not the inbox.
And one commercial truth: ManyChat delivers the lead magnet, it does not make the lead magnet good. If the freebie is weak, automation just disappoints people faster and at higher volume. A VA can tell you from the flow analytics exactly where people drop off; fixing what they are dropping off from is your job.
What stays with you
The offer, the pricing, and every discount code stay yours. Brand voice sign-off stays yours: your VA drafts flows and broadcast copy, nothing publishes to your audience without your approval, and once a flow is approved the VA works within it rather than freelancing new promises into your DMs. Refunds, complaints, partnership approaches and anything that reads like a legal or claims question get assigned to you under a written escalation rule, not answered on the fly. The Editor seat gives the VA the build access they need; it does not make them the voice of the brand. That remains a decision you make on every flow, in writing, before it goes live.
What it costs and where to start
Day-to-day ManyChat running, triggers, Live Chat, hygiene and reporting, sits on the admin tier at $12-17 AUD an hour excl GST, typically 10-15 hours a week, roughly $500-1,100 a month. If you want someone architecting full funnel builds across ManyChat, Klaviyo and Shopify rather than operating them, that is specialist territory at $18-25.
Placement takes 7-10 business days, with 5-7 days supervised inside your ManyChat account, starting on the Live Chat queue and comment triggers, before any solo work. There is a $500 refundable deposit credited to your first month, a 30-day recalibrate-or-replace guarantee, and no lock-in beyond 14 days notice. If the DM work is part of a bigger content operation, the social media scheduling page covers the posting side and the customer support page covers the inbox beyond Instagram. Ecommerce brands should read the ecommerce industry page, the VA cost guide has the full pricing picture, and when you are ready, book a discovery call with Jenn.

ManyChat VA questions
Will the VA actually know ManyChat, or am I training someone from scratch?
ManyChat is the dominant DM automation platform and Australia has a genuinely mature chat-marketing scene around it, so candidates with real Flow Builder hours exist and where we can match you with one, we do. Either way the ramp is 5-7 days supervised inside your ManyChat account before any solo work, starting with the Live Chat queue and the comment triggers, not with rebuilding your flows.
Do I have to hand over my Facebook or Instagram login?
No. ManyChat teammates are invited by email and log in under their own account, with a role you choose: Editor to build and edit flows, or Inbox Agent if they should only handle conversations. Your Meta login never leaves you, and removing the teammate seat later takes one click, not a password reset.
Can the VA run WhatsApp as well as Instagram and Messenger?
Yes, if WhatsApp is connected to your ManyChat account through the WhatsApp Business platform. The channel has its own rules, free-form replies only inside the 24-hour customer service window and pre-approved template messages outside it, and the VA manages the template submissions and keeps broadcasts inside those rules rather than learning them the hard way.
Will DM automation get my account restricted?
ManyChat is a Meta-approved partner using the official APIs, so the platform itself is not the risk; sloppy use is. The account-safe habits are exactly what the VA enforces: broadcasts only inside the messaging window rules, no imported cold lists (Instagram automation can only ever message people who interacted first), and flows that let people opt out cleanly.
Is a VA overkill if I'm a solo creator with one lead magnet?
Possibly, for now. One flow and a few hundred contacts is manageable solo. The tipping point is volume: when every post needs its own comment trigger set up and tested, the Live Chat queue has real buying questions sitting in it overnight, and your contact list is growing fast enough that ManyChat's per-contact pricing needs active management, that is 10 hours a week of work someone should own.
