Etsy Virtual Assistant: a VA who runs Shop Manager so you can get back to making

For Australian makers whose shop outgrew the kitchen table: candle pourers, jewellers, print sellers and wedding stationers still packing orders at 11pm.

30 minutes with Jenn, the founder. No card, no lock-in.

What your VA actually does inside Etsy

Messages inbox

Every thread answered inside Etsy's 24-hour Star Seller window using saved replies you approve. Overnight messages from US and EU buyers are cleared first thing AEST; custom-order conversations and anything that smells like a complaint escalate to you with context instead of getting a guessed reply.

Orders & Delivery

Daily order processing: open orders picked against your stock notes, packing slips printed, orders marked dispatched with tracking numbers attached so the on-time dispatch metric holds, and processing times updated before holiday cutoffs so you never promise what AusPost cannot deliver.

Listings and Etsy SEO

New listings written properly: front-loaded titles, all 13 tags used at the full 20 characters each, attributes and categories completed, all ten photo slots plus the video slot filled. Renewals watched so the four-month expiry never quietly delists a bestseller.

Variations and inventory

Variation grids (size, colour, scent) kept true to the actual shelf, quantities adjusted when a colourway sells out, and sold-out variations toggled off rather than deleted so the listing history and reviews survive.

Delivery profiles

Etsy does not calculate AusPost rates for Australian sellers the way it calculates USPS for Americans; AU delivery profiles are fixed prices someone typed in. When AusPost lifts rates, your VA rebuilds every profile and sanity-checks the international tiers.

Etsy Ads

A weekly prune of Advertised listings: budget-burners with visits and no sales turned off, spend logged against attributed revenue from the Ads dashboard, and every change reported to you before it is made.

Reviews and Star Seller

New reviews checked daily, anything under four stars flagged to you the same day because the 4.8 average is a Star Seller criterion, and the Star Seller dashboard reviewed in the days before the first of each month, when Etsy recalculates the trailing three months.

Coupons and targeted offers

Abandoned basket coupons, favourited-item offers and post-purchase thank-yous set up under Marketing, plus sale events built and scheduled once you have made the pricing call.

Nobody searches “etsy virtual assistant” while the shop is small. You search it in the stretch after it stops being small: forty orders a week, a Messages inbox that refills overnight while American buyers are awake, sixty listings creeping toward their renewal dates, and a Star Seller badge that quietly depends on you answering strangers within 24 hours for the rest of your life. Australia is one of Etsy’s biggest seller countries outside the US, and almost every one of those shops is run by the person who also makes the product. The making was the business you wanted. Shop Manager is the business you got.

The daily rhythm a VA runs in your Etsy shop

DotVA VAs work Australian business hours from Manila, so the day starts where Etsy hurts most for AU sellers: the overnight backlog. American and European buyers shop while you sleep, which means by 8:30am AEST there are new orders sitting in Orders & Delivery and new threads in Messages. First pass of the morning: every message answered inside Etsy’s 24-hour Star Seller window, using saved replies you have approved for the perennials (where is my order, can you make it in blue, do you post to the US). Strictly speaking, only the first message in a new thread counts toward the response-rate metric, but buyers do not know that and do not care, so everything gets a reply. Anything that is really a custom-order negotiation, or anything with the temperature of a complaint, gets summarised and escalated to you rather than improvised in your name.

Then dispatch admin. Open orders get picked against your stock notes, packing slips printed, and once the parcels are lodged, tracking numbers entered against every order. Etsy’s Star Seller dispatch metric measures on-time dispatch with tracking, not delivery, which is the one link in the postal chain a shop can actually control, so it happens the same day, every day. Before the AusPost Christmas cutoffs, processing times get updated across the shop so December buyers are never promised what the network cannot carry.

Listings are the weekly block, and they are where most scaling sellers are quietly bleeding. New products get written up properly: a title that front-loads the phrase people actually type, all 13 tags used at their full 20 characters so multi-word phrases fit, attributes and categories completed instead of skipped, and the full ten photo slots plus the video slot loaded rather than the three photos a rushed seller stops at. Existing listings get the maintenance nobody enjoys. Etsy expires every listing after four months and charges US$0.20 to relist, so renewals are monitored rather than discovered; variation grids are kept true when a colourway sells out; sold-out variations get toggled off instead of deleted, so the listing keeps its history and its reviews.

Weekly, your VA opens Stats and does something with what is in it. Listings getting visits but no orders point at a photo or price problem worth flagging. The search terms bringing traffic get fed back into tags on the next listing pass, using whatever keyword tool you already run (eRank or similar) without treating it as a crystal ball. And the Etsy Ads report gets its prune: the platform gives you almost no levers, so the one lever you do have, switching individual listings off in Advertised listings when they burn budget without converting, gets pulled on a schedule instead of never.

Monthly, on the first, Etsy recalculates Star Seller across the trailing three months: 95% of messages answered within 24 hours, 95% of orders dispatched on time with tracking, and a 4.8 average rating. Your VA checks the Star Seller dashboard in the days before the review and flags anything drifting, because a badge lost in March is not back before winter. Reviews get watched daily on the same logic: a four-star review is fine, a three-star review is a same-day flag to you, since the rating criterion has very little slack in a small shop.

There is also the quieter marketing work that Shop Manager makes easy and sellers never get to. Targeted offers under Marketing, meaning abandoned basket coupons, offers to buyers who favourited an item, and post-purchase thank-you codes, all set up once and maintained. Sale events built and scheduled after you make the pricing call. Sections kept tidy so a shop with 200 listings is browsable. And a properly staffed shop rarely needs vacation mode, which matters, because vacation mode hides every listing from search for as long as it is on, and momentum is the hardest thing on Etsy to rebuild.

When AusPost moves its rates, which it does most years, someone rebuilds your delivery profiles by hand. Etsy does not calculate AusPost postage for Australian sellers the way it calculates USPS rates for American ones; AU delivery profiles are fixed prices somebody typed in months ago, and they go stale silently, coming out of your margin one parcel at a time. That audit is a VA job if ever there was one.

The honest bit

Three things to know before you hire anyone for this, us included.

Etsy has no staff accounts. No receptionist role, no scoped seat, no permission model at all: one shop, one login. Etsy’s terms allow you to authorise someone to work inside your account, and responsibility stays with you, which is exactly why access hygiene matters more here than on platforms that ship proper roles. We run it procedurally: 1Password for credentials, two-factor staying with you, Payment account and bank details untouched by written agreement. It works, but be clear-eyed that it is discipline, not software, doing the protecting.

Etsy Ads is shallow, and the fees are compulsory past a point. There is no keyword bidding, no audience targeting, no placement control; a daily budget and per-listing toggles are the entire console. A VA can prune it well, and pruning is genuinely worth doing, but nobody can optimise Etsy Ads the way they could a proper ad account. Separately, once your shop passes US$10,000 in trailing 12-month sales, Offsite Ads participation becomes mandatory at a 12% fee on attributed orders (below the threshold it is optional at 15%). Your VA can log exactly which orders it is eating; whether your margins wear it is arithmetic only you can sign off on.

Etsy search is opaque and Etsy bills in US dollars. Complete tags, filled attributes and fresh photos are table stakes, not a ranking guarantee, and any page promising you page one of Etsy search is guessing. Meanwhile listing fees, relist fees, transaction fees and Offsite Ads charges all land in USD on an Australian shop, so the monthly statement in Finances deserves an owner’s eye each month, not just a VA’s tidy-up.

What stays with you

Etsy is not a regulated industry, but the line matters anyway, because the shop trades on your name and your hands. The product stays yours: what to make, what to retire, what a custom commission is worth. Pricing stays yours, including whether to run a sale and how deep, even though your VA builds the sale in Marketing once you have decided. Review replies above the routine stay in your voice, because a maker answering a five-star review reads nothing like a template. Etsy Ads budget levels, the call on any “help with order” request that could harden into a formal case under Etsy’s Purchase Protection process, and everything inside your Payment account: yours. The VA runs the machine. The taste and the money decisions never leave you.

What it costs and where to start

Etsy shop admin sits squarely on DotVA’s admin tier at $12-17 AUD an hour excluding GST. Most Etsy placements settle at 10-15 hours a week, roughly $500-1,100 a month, which typically covers the daily Messages-and-dispatch pass plus a weekly listings, Stats and Ads block. If Canva work on product mockups or social tiles is part of the job, it fits the same tier and the same person.

Getting started: placement takes 7-10 business days, then 5-7 days of supervised work inside your actual shop before anything solo, beginning with Messages and order processing because those are the metrics with a monthly reckoning. A $500 refundable deposit comes off your first month, the 30-day recalibrate-or-replace guarantee covers the mismatch risk, and there is no lock-in beyond 14 days notice, which suits a seasonal shop that goes quiet after the Christmas markets.

If Etsy is one channel of a wider operation, the ecommerce page covers the bigger picture, and the customer support tickets page goes deeper on the inbox half of this work. The VA cost guide has the full pricing breakdown across tiers. Or skip the reading and book a discovery call with Jenn. She takes every call herself, and she has heard the “I spent my Sunday relisting expired listings” story more than once.

Etsy VA questions

Will the VA actually know Etsy, or am I training someone from scratch?

Etsy is a consumer platform with millions of sellers, so candidates who have run or admin-managed an Etsy shop are genuinely findable, and where we can match you with one we do. Either way the ramp is 5-7 days supervised inside your shop before any solo work, starting with Messages and order processing because those feed the metrics Etsy recalculates every month.

Etsy has no staff accounts. Is it safe, and even allowed, to let a VA into my shop?

Allowed, yes: Etsy's terms permit you to authorise others to use your account, with responsibility staying with you. Safe is about process, because Etsy gives you no scoped role to hide behind. Credentials live in 1Password, two-factor stays with you, the VA never touches the Payment account or bank details, and confidentiality is signed before day one. It is more discipline than a Shopify staff seat needs, and we treat it that way.

Can the VA manage my Etsy Ads?

Yes, within what Etsy Ads actually is. There is no keyword bidding and no audience targeting: you set a daily budget and toggle individual listings on or off in Advertised listings, and that is the whole console. A VA can do the part that works, which is pruning listings that spend without converting on a weekly schedule. Nobody can optimise Etsy Ads like a Google Ads account, and you should be suspicious of anyone who says they can.

How does a VA protect the Star Seller badge?

By covering the three metrics daily instead of when you remember. Messages answered inside 24 hours (technically only the first message in a new thread counts, but buyers do not know that, so everything gets answered), orders marked dispatched on time with tracking, and sub-4-star reviews flagged the day they land. Because the VA works Australian business hours, the overnight American backlog is cleared each morning well inside the window.

Is this overkill for a shop doing a few orders a week?

Probably, and we will say so on the call. Below roughly 20 orders a week the admin usually fits in the owner's evenings. The tipping point is when listing maintenance, renewals and the Messages inbox start eating the hours you should spend making stock, which for most sellers is the first Christmas season that genuinely hurts. Ten hours a week is the sensible starting shape.
