What your VA actually does inside RMS Cloud
Interactive booking chart
A daily pass of the chart: new bookings allocated to the right site or room type, drag-and-drop moves to close the gaps that block a week-long cabin booking, tentative reservations chased before they lapse, and same-day cancellations backfilled while the date still sells.
Guest correspondence and triggered messages
RMS's triggered correspondence only fires if someone builds and maintains it. Your VA keeps confirmation letters, pre-arrival emails and SMS templates current, sends the manual one-offs (boom gate codes, late check-in instructions, pet policy replies), and works the reservation enquiry inbox so nothing sits unanswered overnight.
Rates and availability via the built-in channel manager
RMS pushes rates and availability straight to Booking.com, Expedia and the rest through its native channel manager, so your VA applies the rate changes you approve, sets stop-sells for long weekends and event dates, and checks OTA parity so the park isn't accidentally cheapest on the channel that charges the biggest commission.
Group bookings and allotments
Sports carnivals, school groups, tour series and the annual fishing club: your VA builds the group master, holds the allotment, loads the rooming list as names come in, and releases unclaimed sites back to the chart on the cut-off date you set.
Billing, receipting and debtor follow-up
Guest accounts receipted correctly at the charge level, company and travel-agent debtors invoiced from the ledger, monthly statements sent, and overdue accounts chased on a written cadence, so the corporate crew booking twelve rooms a month actually pays for them.
Housekeeping task lists
Task lists published each morning from arrivals, departures and stayovers, clean statuses updated as the housekeepers report back, and out-of-order sites or rooms blocked on the chart with a return date so they never get sold broken.
End-of-day and audit reports
The nightly audit pack reviewed each morning: cash and banking reconciliation exceptions flagged, unbalanced accounts listed with context, and occupancy and revenue figures dropped into the weekly summary you actually read.
You do not search “RMS Cloud virtual assistant” because the software is hard. You search it because you own a park or a motel, RMS runs the whole thing, and the person working the booking chart, answering the enquiry inbox, chasing the group rooming list and reading the nightly audit is you, usually after the last check-in and before the first load of linen.
RMS is Melbourne-built, runs more than 6,000 properties, and by its own count sits behind over 70 per cent of Australian holiday and caravan parks, which is exactly why it is one of the few systems where finding a VA with real prior hours in the software is a genuine prospect rather than a recruiter’s wish. The system is deep. The problem was never the system. The problem is that nobody is sitting in it for two or three hours a day doing the unglamorous work it was built for.
The daily rhythm a VA runs in your RMS Cloud
Morning, before the housekeepers start: the booking chart gets its first pass. Overnight OTA bookings checked and allocated to sensible sites or rooms, not just wherever RMS dropped them. Tentative reservations approaching their lapse date get a follow-up call or email. Then the shuffle: the two-night gap stranded between bookings on the best ensuite cabin gets closed by dragging a flexible booking one column over, so the chart can sell a full week instead of orphaned nights. Anyone who has run a park knows this ten-minute job is worth real money in school holidays, and it never gets done when the owner is also the plumber.
Next, correspondence. RMS’s triggered messages do the heavy lifting once they are set up, but they need a keeper: your VA maintains the templates, confirms the pre-arrival email with the boom gate code and check-in instructions actually fired for today’s arrivals, and clears the enquiry inbox. Every “do you take dogs on powered sites” and “can we get two cabins next to each other for Easter” gets an answer the same morning, with the booking made in RMS while the intent is still warm.
Housekeeping runs off the same pass. Task lists published from arrivals, departures and stayovers, clean statuses updated as rooms and cabins come back, and anything broken marked out of order on the chart with a return date, so the room with the dead air conditioner cannot be sold by accident on a 40-degree Saturday.
Then money. Payments receipted against the right charges on each guest account. The company debtors ledger, where the mining crew, the roadworks contractor and the sports association live, gets invoiced properly and chased on a written chasing cadence you approve, first a statement, then a polite email, then a call. Most parks and motels we talk to have thousands of dollars sitting in that ledger purely because nobody has time to work it.
Rates and availability round out the week. Because RMS’s channel manager is native, there is no second system to log into: your VA applies the rate changes you sign off, loads stop-sells across the long weekend before the OTAs sell your last sites at Tuesday prices, and checks that what Booking.com is showing matches what RMS thinks it sent. Group work happens here too: allotments held for the carnival, rooming lists loaded as the organiser drips names through, and unclaimed sites released back to the chart on the agreed cut-off so they sell instead of sitting empty.
Last, the audit. The end-of-day pack gets read every morning, not filed. Banking exceptions flagged, unbalanced accounts listed with a one-line explanation, and the occupancy and revenue numbers summarised weekly so you see the trend without opening a report yourself.
The honest bit
Three things RMS Cloud will not do, no matter who you hire.
First, the triggered correspondence is only as good as its setup. Out of the box, nothing fires. If your confirmation template still mentions the old reception hours or the pre-arrival SMS was never built, guests arrive uninformed and the reviews say so. Someone has to build the triggers, test them, and keep them true as the property changes. That is precisely the kind of patient, detail-level work a VA does well and an owner never gets to.
Second, RMS is dense. It is a genuinely powerful system with a lot of screens, and staff who were “shown the basics” three years ago tend to use about a fifth of it. A VA does not fix a badly configured database on day one; what they do is work it consistently, and flag the configuration problems (rate tables that no longer match reality, categories nobody uses, triggers pointing at dead templates) so they finally get fixed instead of worked around.
Third, the channel manager moves numbers, it does not choose them. RMS will push whatever rate it is given to every connected OTA within minutes, which cuts both ways: a good decision propagates instantly, and so does a typo. That is why rate changes in our placements are executed by the VA but decided and signed off by you, every time.
And the obvious one: a VA cannot hand over a key at midnight or unblock a toilet. RMS admin is remote work; the physical property still needs whoever it needs.
What stays with you
RMS’s security profiles make this a permission structure, not a policy document. The VA’s profile carries reservations, correspondence, housekeeping and receipting. What stays locked to you: refund processing, rate table and dynamic pricing configuration, end-of-day banking and its sign-off, debtor write-offs, and system setup. Beyond permissions, the judgement calls stay yours too: pricing strategy for peak periods, compensation when a guest complaint has teeth, which company accounts get credit terms, and anything involving staff. The VA runs the machine; you keep the levers that move money and reputation.
What it costs and where to start
RMS Cloud work sits on the admin tier, $12-17 AUD an hour excl GST, and most park and motel placements settle at 10 to 15 hours a week, roughly $500-1,100 a month. Placement takes 7-10 business days. Your VA spends the first 5-7 days supervised inside your own RMS database, starting with the booking chart and the enquiry inbox, before any solo work. There is a $500 refundable deposit credited to your first month, a 30-day recalibrate-or-replace guarantee, and no lock-in beyond 14 days notice. DotVA has made 87+ Australian placements since 2024, and a lot of them look exactly like this: a regional owner, one deep system, no hours left in the day.
If you want the wider industry picture, the hospitality page covers accommodation operators in more depth, the virtual receptionist page covers the phones side, and the VA cost guide has the full pricing breakdown. Otherwise book a discovery call with Jenn, and bring your booking chart gripes with you.

RMS Cloud VA questions
Will the VA actually know RMS Cloud, or am I training someone from scratch?
RMS runs the majority of Australian holiday and caravan parks plus a large slice of the motel market, and it is widely used by Manila-based reservations teams working for AU accommodation groups, so candidates with genuine RMS hours exist and we look for them first. Either way, the ramp is 5-7 days supervised inside your own RMS database before any solo work, starting with the booking chart and correspondence, then billing once you have watched them work.
Can the VA touch our money in RMS?
Only as far as you let them. RMS security profiles are granular enough to allow receipting a payment against a reservation while blocking refunds, rate table changes, end-of-day banking and the accounting configuration entirely. The usual setup is reservations and correspondence in full, receipting on, refunds and banking off. It is a permission, not a promise.
We use RMS's built-in channel manager. Does the VA manage the OTAs too?
Yes, and that is one of the best reasons to put a VA inside RMS specifically. Because the channel manager is native, rate updates, stop-sells and availability changes made in RMS flow straight to Booking.com, Expedia and the rest without a second system. Your VA executes the changes you approve and checks they landed; the pricing strategy itself stays yours.
Is a VA overkill for a small park or a 15-room motel?
At 10 hours a week, roughly $500-700 a month, it is usually less than one weekend casual, and it removes the work that follows you home: the enquiry inbox, the OTA modifications, the debtor statements, the chart tidy-up. If the property is genuinely quiet outside school holidays, an honest answer might be seasonal hours, and Jenn will tell you that on the call rather than sign you up for hours you do not need.
Can the VA answer the phones as well?
During AU business hours, yes. DotVA VAs work your timezone, so a VA can take reservation calls on a softphone, make the booking in RMS while the caller is still on the line, and send the confirmation before they hang up. What they cannot do is be physically at the desk for a 10pm walk-in; after-hours arrangements stay whatever they are today.
