PracticeEvolve Virtual Assistant: a VA who opens the matters, runs the bills and works the debtors
For principals of smaller Australian firms running family law, wills and estates, conveyancing or litigation files on PracticeEvolve, where the fee earners are also the admin team.
30 minutes with Jenn, the founder. No card, no lock-in.
What your VA actually does inside PracticeEvolve
Matter opening and data entry
New files opened against your pre-built matter types, family law, wills and estates, conveyancing or litigation, with parties, other side, key dates and referral source entered properly, and a conflict search run across the database before the matter goes live. Clean matter data is what makes the precedents and the reports work later.
Precedent generation
First drafts produced from PracticeEvolve's automated precedent library, engagement letters, section 32 vendor statements, initial correspondence, court forms, with the merge fields pulling from matter data instead of being retyped. The VA generates and files the draft; a fee earner reviews before anything leaves the firm.
Email and document filing
A daily pass through the Outlook integration, saving inbound and sent email to the correct matter so the file history is complete, plus document naming and version discipline in the matter's document store so nobody is hunting for the signed copy at 4:55 on settlement day.
Time entry tidy-up
The pre-billing sweep. Unrecorded days chased fee earner by fee earner, draft time entries checked for missing narratives and wrong activity codes, and WIP reviewed matter by matter so the billing run starts from numbers a partner can actually approve.
Billing runs
Month-end bill preparation from WIP: draft invoices raised per matter, disbursements checked against the file, bills routed to the supervising practitioner for approval, then approved invoices issued and recorded. The VA prepares and sends; write-offs and final amounts are partner calls.
Debtor follow-up
The aged debtors report worked weekly on a wording and cadence you sign off, first reminder, follow-up call, escalation to the principal at the threshold you set. Lockup is the number PracticeEvolve's dashboards keep showing you; this is the person who moves it.
KPI and BI reporting pack
PracticeEvolve pushes its business intelligence reporting hard, but dashboards only help if someone assembles them. Your VA pulls WIP, lockup, debtor days and fee earner billing into a short weekly pack for the partners, same format every Monday, with anything unusual flagged in one line.
Nobody in a 20-partner firm searches “practiceevolve virtual assistant”. The person typing that is the principal of a leaner PracticeEvolve firm, the kind where fee earners still carry the admin, who chose it because it bundled matter management, document automation and compliant trust accounting into one system, and then discovered the system still needs a human. The matters do not open themselves, the precedents do not run themselves, and the debtors report has been telling the same story for three months because everyone who could act on it has billable work due.
The maths is what stings. Every hour a practitioner spends opening files, filing email and preparing bills is an hour that was worth $300 or more and got spent on work worth $30. PracticeEvolve pitches itself at mid-sized firms, the vendor says it is not built for practices under about 25 staff, but plenty of firms in its base still run lean on admin, cannot justify another full-time salary for it, and bleed real money doing without one. That gap is what a part-time VA fills.
The daily rhythm a VA runs in your PracticeEvolve
Morning starts in the file history, not the diary. The VA works through the Outlook integration and saves yesterday’s inbound and sent email to the correct matters, so every file reads complete when a practitioner opens it. It is the least glamorous job in a law firm and the one that causes the most quiet damage when skipped, because an incomplete matter history means someone reconstructs a chain of correspondence under time pressure, usually right before a deadline.
New instructions get processed next. The VA opens the matter against the right matter type, your family law, wills and estates, conveyancing or litigation templates, keys in the parties and the other side, runs a conflict search across the database before the file goes live, and records key dates and the referral source. This is dull, exacting work, and it is also the foundation for everything PracticeEvolve does well: the precedents merge from matter data, so a matter opened sloppily produces documents that need fixing forever after.
Then documents. PracticeEvolve’s automated precedent library is one of its genuine strengths, and a VA who knows your matter types can produce first drafts in minutes: the engagement letter and costs disclosure pack for a new client, initial correspondence to the other side, standard court forms, the conveyancing letters that go out on every file. The VA generates, files the draft into the matter’s document store under your naming convention, and flags it for the fee earner. Nothing leaves the firm without a practitioner’s eyes on it; the VA’s job is to make sure the practitioner is reviewing a 90 per cent draft instead of typing from a blank page.
The weekly cycle is where the money moves. Before month end, the VA runs the time entry sweep: unrecorded days chased person by person, narratives checked, activity codes corrected, WIP reviewed matter by matter. Then the billing run itself, draft invoices raised from WIP, disbursements checked against the file, bills routed for partner approval, approved invoices issued. After that, the aged debtors report gets worked on the cadence and wording you approved, reminder, call, escalation, so invoice chasing happens every single week instead of whenever someone feels guilty enough.
Monday morning, the partners get a one-page pack: WIP, lockup, debtor days, billing by fee earner, pulled from PracticeEvolve’s business intelligence reporting, with anything unusual flagged in a line. The BI module is a feature the platform markets heavily, and fairly, but a dashboard nobody assembles and nobody reads is decoration. The VA is the difference between having the reports and actually running the firm off them.
The honest bit
Some things PracticeEvolve will not do, whoever you hire.
The debtors report is a report, not a collections system. It will show you lockup with great clarity and chase precisely nobody. The BI dashboards have the same character: excellent at telling you fee earner three is 40 hours behind on time recording, silent on doing anything about it. Every number in that system waits for a human to act on it, which is rather the point of this page.
The precedent library is only as good as its maintenance. Automated documents that merge outdated cost disclosure figures or a retired partner’s name are worse than a blank page, because they look finished. A VA can flag stale precedents and route corrections, but deciding what the current wording should be is legal work and stays inside the firm.
There is also a candour point about the talent pool. PracticeEvolve has a solid Australian base among small and mid-sized firms, but it is not LEAP, and VAs with existing PracticeEvolve hours are genuinely rarer than VAs with Cliniko or Xero hours. What we match on is legal practice management experience, because matter-centric filing, WIP, billing runs and precedent generation transfer directly between platforms, and the supervised ramp inside your own system covers the rest. If a placement means training someone on legal admin itself from zero, we will tell you that before you pay a deposit, not after.
Finally, deployment matters a little. EvolveGo, the hosted cloud product, is the easy case: browser access, one login, done. If you are on the server-based EvolvePlus side, remote access works the same way your own staff connect from home, and it is a conversation we have with your IT before day one.
What stays with you
Law is a licensed profession and the boundary here is not negotiable, so we draw it in writing before the placement starts.
Legal advice stays with practitioners, all of it, including the informal kind that arrives disguised as “just a quick question” in an email the VA is filing. Anything from a client that calls for a legal judgement escalates under a written rule rather than getting a helpful guess. Court documents are generated by the VA but signed off and filed under a practitioner’s authority. Undertakings, settlement figures, costs disclosures and write-off decisions are practitioner calls; the VA prepares the paperwork around them.
Trust money is the hardest line, and PracticeEvolve lets you build it into the software rather than relying on trust. Because access runs on user security groups, the VA’s login simply excludes trust accounting functions: no receipting, no trust transactions, no authorisation, in line with your Uniform Law obligations about who may deal with trust money. The VA can assemble supporting information for your bookkeeper or trust account signatory, but the ledger itself is never theirs to operate. That is a permission you set once, not a policy you have to police.
What it costs and where to start
PracticeEvolve admin sits on DotVA’s admin tier at $12-17 AUD an hour excl GST, and most firms this size land at 10-15 hours a week, roughly $500-1,100 a month, which is a fraction of the part-time legal secretary the work would otherwise require. If the role grows into bookkeeping support alongside your accountant, that tier runs $25-35 an hour.
Placement takes 7-10 business days from your discovery call. The first 5-7 days are supervised inside your PracticeEvolve, starting with email filing and matter opening because they are low-risk and teach your matter types fast, before the VA touches billing preparation solo. A $500 refundable deposit credits against your first month, there is a 30-day recalibrate-or-replace guarantee, and no lock-in beyond 14 days notice. We have made 87+ Australian placements since 2024, and Jenn takes every discovery call herself.
For the wider picture of what VAs do inside firms like yours, the law firms page goes deeper, and conveyancing-heavy practices should read the conveyancers page as well. The VA cost guide breaks down pricing against hiring locally. When you are ready, book a discovery call and bring your lockup number; it usually makes the decision on its own.

PracticeEvolve VA questions
Will the VA actually know PracticeEvolve, or am I training someone from scratch?
Honestly, PracticeEvolve's Australian install base is smaller than LEAP's or Actionstep's, so a candidate with existing PracticeEvolve hours is rarer, and we will not pretend otherwise. What we match on is legal practice management experience, matter-centric filing, time and WIP, billing runs, precedent generation, because those workflows transfer directly. The ramp is 5-7 days supervised inside your PracticeEvolve, starting with email filing and matter opening, before any solo work.
Can a virtual assistant touch our trust account?
No, and the boundary is enforced in the software, not just promised. PracticeEvolve's security groups let you exclude trust accounting functions from the VA's login entirely, so the trust ledger is simply not part of what their user can operate. Preparing supporting information for your bookkeeper is fine; receipting, transacting and authorising trust money stays with the authorised people in your firm, as the Uniform Law requires.
Our files are privileged. How does confidentiality work with an offshore VA?
The same way it works with any non-lawyer staff member, contractually and structurally. Confidentiality is signed before the VA's first login, credentials live in 1Password so nothing is shared by email, the security group limits what the login can reach, and you can restrict access to sensitive matters within PracticeEvolve if a file warrants it. Anything that looks like a legal question from a client escalates to a practitioner under a written rule.
We're a three-person firm. Is a VA overkill?
No. PracticeEvolve pitches itself at mid-sized firms these days, but smaller practices run it too, often as longstanding installs, and the small end is where the case is strongest, because the person doing the matter opening and debtor chasing is a fee earner. Ten hours a week of admin moved off a practitioner who bills at $350 an hour pays for itself out of one recovered afternoon. Most placements at this size run 10-15 hours a week.
We're partway through moving to EvolveGo. Does that cause problems?
No. EvolveGo is PracticeEvolve's hosted cloud product, and browser-based access is actually the easy case for a remote VA, one login, no remote desktop plumbing. If you are on EvolvePlus, the server-based deployment, the VA connects the same way your own staff work remotely, and we sort that access question with your IT before day one, not after.
